Position Title: Community Space Coordinator

Compensation: $20.58-$22.49/hr starting range

Position Description: 

At APANO CUF, the Community Space Coordinator will play a critical role in the Community Space Department by demonstrating flexibility, adaptability, and precision throughout a wide range of job duties. This position is best suited to someone who is excited about community programs and social justice, adaptable, diplomatic, calm under stress, hard-working, detail oriented, and able to meet deadlines.

The Community Space Coordinator requires the ability to liaise with the public, answer questions, provide resources to community members, and collaboratively produce empowering events and programs. We are looking for someone who is dependable, approachable, experienced in crowd management, and mindful about security concerns. The Community Space Coordinator works with the Community Space Team and other APANO CUF Staff to produce exceptional events and community programs, coordinate resources in the Orchards of 82 Community Space, and other duties as assigned. The Community Space Coordinator responsibilities include event coordination and production, A/V support for online & hybrid events, facilities & supplies coordination, catering & bartending, event set-up & take-down, crowd management, administrative support, developing program material, research, grant writing, and liaising with community members, contractors, vendors, donors, and clients. The Community Space Coordinator reports to the Event & Community Space Manager. This position requires current COVID vaccination and the ability to acquire a Multnomah Food Handlers Card and Oregon OLCC Server Permit. 

This position is full-time, 40 hours per week, and is currently 95% remote due to COVID-19. The current schedule is Monday, Tuesday, Thursday, Friday 9 AM – 5 PM and Wednesday 10:30 AM – 6:30 PM. Night and weekend availability are required due to Community Space programs. When the APANO Orchards of 82 Community Space reopens for public events the weekly schedule will be Tuesday – Saturday to accommodate Community Space programs. 

The ideal candidate will have most of the following skills and experience:

Primary Responsibilities:

During the COVID-19 pandemic, 95% of work is remote; when the Orchards of 82 Community Space opens, work will likely be a hybrid of onsite and remote work.

Event Production (65%)

  • Provide exceptional customer service while performing a wide range of duties.
  • Coordinate events and programs: liaise with community members, clients, interpreters, guests, and vendors.
  • Support online & hybrid events as AV/Tech and in other support roles. 
  • Develop & produce social justice programs for a diverse audience and community. 
  • Coordinate & liaise with clients and community members onsite during events and community programs. 
  • Set-up event furniture and other objects according to event design. 
  • Set-up event AV needs and trouble-shoot as needed.
  • Strike event furniture and other objects, and tidy space during and post events. 
  • On-site coordination of events including nights and weekends.
  • Support a variety of interdepartmental APANO programs including but not limited to Resilience Series, East Portland Arts & Literary Festival, Liberation in Practice, Voices of Change, and the Jade Night Market. 
  • This position interacts with a diverse public and second language ability is a bonus as programming is regularly offered in Chinese, Vietnamese, and Spanish. 

Community Space Inventory & Resource Coordination (10%)

  • Coordinate supplies, furniture, and other material resources of the O82 Community Space.
  • Help maintain inventory, organization, cleanliness, suggest improvements, and other responsibilities assigned as needed. 

Administration & Meetings (10%)

  • Fulfill administrative duties including research and program support. 
  • Review and refine operational manuals and guides. 
  • Participate in the Safety Committee and other APANO committees as needed. 

Grant Writing & Research (5%)

  • Support Community Space Programs and initiatives through research and grant writing. 

Required Qualifications: 

  • General knowledge of event culture, procedures, and best practices.
  • Experience working in, or volunteering with, a social justice non-profit. 
  • Experience working with diverse populations. 
  • 2-3+ years of event production, customer service, retail, or restaurant experience.
  • Experience working with AV/Tech including, but not limited to, Zoom, projectors, sound systems, and microphones. 
  • Ability to respond promptly and professionally to all communications. 
  • Ability to accurately multi-task, meet/beat deadlines, remain organized, remain calm under pressure, and remain diplomatic. 
  • Ability to see the big picture, while examining the details; the ability to dream fearlessly. 
  • Willingness to learn, excitement about social justice work, and experience with DEI, decolonization, and community organizing. 
  • COVID19 Vaccination.
  • Valid driver’s license with ability to pass MVR check.
  • Must be of legal drinking age in the US.
  • OLCC Servers Permit (or willing to obtain / continuing education funds available). 
  • Food Handlers Card (or willing to obtain / continuing education funds available).
  • Lift up to 40 pounds from standing or squatting position.
  • Familiarity with the Microsoft Office Suite and Google Suite; familiarity with Adobe Suite preferred.
  • Represent the values and mission of APANO.
  • Learn and follow all APANO, OSHA, and Portland Fire Marshal guidelines. 
  • Work effectively with volunteers, APANO staff, event clients, and the general public. Promote equity and inclusion goals.

The following are preferred, but not requirements:

  • Asian and/or Pacific Islander language proficiency 
  • Experience with POS and CRM systems
  • Experience with trauma-informed care and de-escalation training

Travel Required 

In-state travel is required for this position. Must possess a valid driver license and provide proof of insurance if using own vehicle, or if renting, must be insurable. Must be able to drive a motor vehicle safely and use a seat belt when in operation. Mileage and travel expenses are reimbursed per APANO policy.
