Position Title: Finance Assistant

Reports to: Director of Finance

Employee Classification: Regular, full-time, hourly

Hours: Flexible work hours, 40 hours per week

Compensation: $18.85-$21.21/hr-based on experience

Position Description: 

The Finance Assistant ensures APANO’s daily transactions are collated and presented to our external accounting firm to guarantee an accurate and timely month-end close. They will also assist the Director of Finance in the accurate and timely filing of C3 and C4 payroll functions. This individual will join a growing, seasoned team of member-leaders and staff working to win concrete change in the lives of Asian and Pacific Islanders in Oregon and beyond. 

Bookkeeping (80%)

  • Be primarily responsible for bookkeeping functions, including:

    • Learning, understanding, and adhering to APANO’s chart of accounts, ensuring proper coding of revenue and expenditures and communicating with non-fiscal staff on use of coding for grant tracking purposes. 

    • Accurately separating revenue and expenditures for APANO’s C3 and C4 organizations.

    • Organizing deposits and providing coding and back-up documentation to external accounting firm.

    • Working closely with the Director of Finance to make sure accurate invoices are distributed each month.

    • Researching past due payments and following up on past due accounts with the direction of relevant program staff.

    • Organizing vendor invoices and posts in Bill.com, providing supporting documentation to guarantee vendors are paid in an accurate and timely fashion.

    • Ensuring all credit card transactions are fully supported, documented, and coded to guarantee a timely month-end reconciliation.

    • Following and obtaining proper approval for all APANO expenditures.

    • Creating systems to track, manage, and improve records management inter- departmentally and with the external accounting firm.

Payroll (20%)

  • Be responsible for payroll processing, including:

    • Coordinating with the external accounting firm to ensure timely preparation and filing of W2s/W3s and 1099s/1098s.

    • Maintaining timesheet collection, with proper coding to grants and contracts.

    • Working in concert with the Director of Finance to ensure accurate and timely payroll processing through ADP.

    • Adhering to APANO’s employment policies and procedures.

    • Assisting with tracking and recording PTO.

    • Distributing paychecks as needed.

The ideal candidate will have the following qualifications, skills, and experience:


  • Minimum one year of experience in nonprofit fund accounting

  • Thorough understanding of cash versus accrual accounting

  • Strong organizational, customer service, and communication skills

  • Ability to manage competing priorities and manage timelines

  • Strong written and verbal communication skills

  • Strong team player able to work effectively with colleagues across various teams

  • Intermediate-level knowledge of Google Suite and Microsoft Office Suite, including Excel

  • Knowledge of Bill.com and Jotform functions

Preferred, but not required:

  • Respect for and demonstrated experience working with Asian Pacific Americans as well as an understanding of issues affecting API communities

  • Asian and/or Pacific Islander language proficiency, both spoken and written

  • Deep commitment to and vision for APANO’s mission and strategic plan, including an understanding of the role of grassroots community organizing in social change and movement building

  • A commitment to APANO’s mission, vision, and values and to helping build a healthy workplace culture
